2. Purpose of Data Processing

Medothic GmbH processes personal data solely within the framework of applicable legal requirements—particularly in accordance with the General Data Protection Regulation (GDPR), the Federal Data Protection Act (BDSG), and the guidelines of national and international market and social research associations (ADM, EphMRA, ESOMAR).

  • All personal data collected by medothic GmbH is always gathered, stored, processed, and used in compliance with applicable laws. Access to this data is also subject to legal provisions.
  • Participation in studies is voluntary. Respondents may withdraw from a study at any time without giving a reason. Furthermore, consent is obtained from the data subjects before any personal data is recorded (Art. 6(1)(a), Art. 9(2)(a) GDPR).
  • Data processing is conducted solely for specific purposes and in accordance with the principles of the GDPR.

3. Use of Personal Data

  • Personal data is used exclusively for research purposes.
  • Data is processed in anonymised or pseudonymised form (Art. 6(1)(a) GDPR).
  • No data is shared with unrelated third parties, except where required by law or by court order.

5. Personal Data

To fulfil the purposes outlined above, personal data is collected, processed, and used for the following groups:

  • Study Participants: Collected data may include:
    • Name, address, email (personal data in surveys is only collected and processed if participants provide it voluntarily, e.g. for incentive purposes)
    • IP address (for quality assurance)
    • IT security data
  • Employees & Applicants: Data collected for the purpose of employment or recruitment processes
  • Customers, Suppliers, Prospects: Business contact information and, where necessary, additional data required for project execution

6. Customer Data

Basic Data:

  • Title, name, email, telephone
  • Company (name and type), position, address, country

Additional Data for Quote/Project Requests:

  • Study information (topic, type, fieldwork times, locations, duration of survey, if applicable)
  • Quote details (type of study, deadlines, requested special services)
  • If you commission a project with us, we require the data necessary for invoicing in accordance with German tax law (§ 14 UStG).

7. Rights of Data Subjects (pursuant to Articles 15–22 GDPR)

Data subjects have the right to contact us at any time, free of charge, with questions regarding the collection, processing, or use of their personal data. This also includes, to the extent applicable, justified, and provided that no statutory retention obligations conflict with this right, the right to:

  • Rectification of inaccurate data
  • Deletion, insofar as no statutory retention obligations exist
  • Restriction of processing or objection to consent given
  • Data portability

Data subjects also have the right to lodge a complaint with a data protection supervisory authority if they believe that the processing of personal data concerning them violates the GDPR (Art. 77).

8. Who Receives Data and in What Form?

Generally, personal data of survey participants is not shared with clients of our market research projects.

  • Provided personal data is processed and used solely for statistical purposes.
  • Survey results are shared in anonymised or aggregated form.
  • Kunden erhalten – wenn überhaupt – Zugang zu personenbezogenen Daten nur zu rechtmäßigen Forschungszwecken. Clients may only access personal data, if at all, for legitimate research purposes. They do not receive identifying information such as names, addresses, phone numbers, or original questionnaires.
  • Clients are also obliged to comply with our data protection policy. Any information provided to clients is used exclusively for market and opinion research purposes.
  • External service providers (e.g., moderators) are contractually bound to confidentiality and data deletion: personal data must not be shared with third parties, may only be used for the intended purpose (e.g., conducting an interview), and must be deleted immediately after completion.
  • Data sharing occurs only within the framework of legal authorisation.

Data collected for secondary purposes is processed exclusively by authorised internal departments.

No commercial use: Personal data provided by you or others will not be sold or used for advertising. We use this data solely for the purposes described above, for which it was provided.

Storage period:
Data is stored until consent is withdrawn or the purpose of processing ceases, while observing statutory retention periods. You may object to further use or storage at any time. Withdrawal does not affect the lawfulness of processing prior to the withdrawal (Art. 7(3) GDPR).

11. Data Deletion / Contact by Respondents (Access, Deletion, General Inquiries About Their Data)

Personal data is deleted once the purpose of processing has ceased and applicable statutory retention periods have expired (pursuant to Art. 5(1)(b) GDPR, as well as provisions of the German Commercial Code (HGB) and the German Income Tax Act (EStG)).

For survey participants, this is generally after incentive processing or completion of the market research project, plus a certain grace period (e.g., for follow-up questions regarding incentives).
